A private system for every agency
Each agency gets its own separate database and its own system. Your records are never stored alongside another organisation's.
Encrypted
Data is encrypted when it travels over the internet and when it is stored. Daily backups are encrypted too.
Access control
Every person has their own login. You choose what each member of staff can see, and access can be removed instantly.
Login protection
Two-step login with an authenticator app (which you can make compulsory for managers), strong password storage, automatic lock-outs and secure, expiring password resets.
Full audit trail
A change log records who changed what and when — helpful for governance and for inspectors.
Secure payments
Card payments are handled by Stripe. Card details never touch our servers.
Controlled access for inspectors
Inspectors and other professionals get time-limited, read-only access to only the areas you choose — and every visit is recorded.
Instant sign-out
Remove a member of staff or cancel an inspector's access and they are signed out straight away.
Access you can evidence
Download a full record of who viewed what, when and for how long — useful for UK GDPR and governance.
Kept only as long as needed
Set how long you keep records of staff who have left, people you no longer support and closed records. When the time is up they're deleted automatically, with 30 days' notice, a “keep” option for legal holds and a deletion log.
UK GDPR
You remain the data controller for the records in your system; Loup acts as your data processor. We provide a data processing agreement as part of our terms, process data only to provide the service, and help you respond to requests from the people whose data you hold.
Archived staff and client records can be kept for your retention period and removed when it ends. You can download a complete copy of all your records and documents at any time — your data is always yours.
Every night your records are backed up, encrypted, and a copy is stored away from the computer running your system.
