If you run more than one registered service, such as several children's homes or home-care branches in different towns, they can all be in one system. Each location keeps its own registered manager, regulator, registration number, reports and inspector access.
Setting up your locations
- Go to Settings → Locations and click + Add a location for each one.
- Give each one a name, and choose its regulator if it's different from the rest. For example, an Ofsted children's home and a CQC home-care branch can be run together. Then add its registration number (Ofsted URN or CQC location ID) and registered manager.
- Click Save settings. With two or more locations, a location switcher appears at the top of the menu.
When you sign up, you choose how many locations you need and give their details during setup, so your system arrives ready.
Staff and the people you support
When you add or edit a staff member or a person you support, tick the location(s) they belong to. Tick more than one for someone who works across locations, such as a bank worker. They're only entered once.
Incidents follow the person they're about. Complaints, regulator notifications, staff meetings and improvement actions each ask which location they're for. Meetings and improvement actions can also be for the whole provider.
Who sees what
- Owners, Responsible Individuals and directors (managers in Users & Access with no locations ticked) see every location. Their dashboard has a Your locations table comparing each location's staff, overdue checks, training, incidents, complaints, notifications, improvement actions and latest readiness review. Click a location, or use the switcher, to look at just that one.
- A location's registered manager: in Users & Access, edit them and tick only their location. Even as an Admin, they then only see that location's staff, people supported and records, and their weekly email only covers their location. Settings, branding, users, data deletion and "download all our data" stay with managers who cover every location.
- Office staff can be limited to locations in the same way.
Reports and inspections
- When you're looking at one location, the inspection evidence pack and monthly report show that location's name, registration number and manager, and only its figures.
- The AI readiness review runs for the location you're looking at, against that location's regulator. Each location keeps its own reviews.
- When giving an inspector access, tick the location(s) they can see. A location's manager can give access for their own location.
- Wording follows the location's regulator. An Ofsted home shows "young people" and Ofsted's notification types.
Pricing
You pay for each location, and every location after the first is cheaper. See Pricing. To add or close a location later, update it in Settings and your customer manager will adjust your plan. Closing a location keeps all its records.
